About the Role:

NomiSo is looking for an Administrative Assistant who is process oriented, a master multi-tasker with excellent communication skills and an upbeat attitude.

Day to Day Responsibilities:

  • Supporting regular office operations including scheduling internal meetings
  • Recruiting Support:
  • Schedule candidate interviews by coordinating with recruiters, candidates, hiring managers, and interviewers.
  • Update candidate records and job postings
  • Partner with recruiter and security to welcome all new employees in person, ensure orientation tasks are met
  • Develop and maintain process documentation
  • Manage employee/consultant timesheet and client invoicing process (ensure timesheets are submitted in a timely manner, submit to Controller and review for accuracy)
  • Manage all incoming mail and packages as well as arranging shipments of equipment
  • Organize office events including holiday parties, birthday's, etc
  • Manage general company communication channels including email, Slack, Google Chat, etc regarding office announcements, etc.

Must Have:

  • Must be available to work onsite Monday – Friday 9:00 AM – 5:00 PM MST
  • Work experience as an Administrative Coordinator, Administrator or similar role
  • Solid time-management abilities with the ability to prioritize tasks
  • Demonstrated experience creating process documents
  • Proactive with a positive mindset and can-do attitude.
  • Ability to be extremely dynamic, demonstrate initiative, and have the ability to multitask in a very fast paced-environment and develop solutions to a variety of complex problems, and have experience in the creation and execution of projects and goals
  • Must be computer savvy and have experience working with Microsoft Office as well as Google Suite applications

Nice to Have:

  • Familiarity with HR databases, applicant tracking systems and candidate management systems
