POSITION OVERVIEW
The Bookkeeper and Administrative Assistant is responsible for maintaining financial records including purchases, receipts, bills, orders, and payments for a Veterinary Practice, as well as miscellaneous administrative assistant duties as assigned. While direct experience in bookkeeping is desired, we will train the right candidate. The Practice employs a professional CPA firm and this position is not intended to replace CPA duties. This role reports directly to the Owner(s) of the Veterinary Practice and supports business activities of the Practice and adjacent business activities that impact the Practice. Please note that the duties of this position are primarily carried out through web and desktop application - if your computer skills are not strong or if you're "not a computer person," this position is not for you!
The position is primarily remote, but will involve occasional work at the Practice location and will involve errands in and around the Longmont area. Days and Hours are flexible, but must include daytime availability for meetings, business calls, and errands. While the Company will provide computer equipment, Employee must have reliable high-speed internet at home, a quiet area from which to conduct business calls and web meetings, and a reliable means of personal transportation.
This position is a direct hire, hourly, non-exempt position.
CORE RESPONSIBILITIES
Bookkeeping Duties
- Record and code day-to-day expense transactions (current system is QuickBooks Online)
- Reconcile bank transactions to transactions posted in QBO
- Enter data, maintain records, and launch reports
- Enter Purchase Orders (current system is a custom cloud-based database app)
- Enter Bills/Invoices and match to Purchase Orders
- Track Bills Due and pay Bills
Administrative Assistant Duties
- Make calls to suppliers, organizations, and agencies
- Sorting, screening, responding to, and writing emails
- Take notes during meetings and conference calls
- Type up meeting notes and minutes
- Putting together presentations (PowerPoint)
- Proofreading documents
- Schedule meetings
- Run errands such as delivering packages, picking up packages, making bank runs, and shopping for business supplies
OTHER RESPONSIBILITIES
Perform other duties as assigned by the Owner or Practice Manager

REQUIRED QUALIFICATIONS, KNOWLEDGE, SKILLS, AND ABILITIES
- Experience working as a bookkeeper and as an administrative assistant is preferred, but experience in related fields (data entry, reception, office work, etc.) will be considered
- Experience using QuickBooks Online or other similar accounting or bookkeeping software is preferred, but general proficiency in computer applications will be considered
- Excellent written communication skills are essential including good spelling, proper grammar, proper punctuation, and ability to compose professional business letters and emails
- Excellent verbal communication skills are essential including good diction, good enunciation, buoyant tone, speaking clearly, avoiding filler words, and active listening
- For in-person work such as meetings or errands on behalf of the business, proper physical presentation is important including style, dress, hygiene and grooming appropriate for the occasion
- This role is 95% computer work, and thus strong competency in the following areas or applications is required:
- -Touch typing
- -Internet and web applications
- -Microsoft Word, Excel, PowerPoint, and OneNote
- -Microsoft Outlook
- -Database programs
- -Ability to quickly learn new software applications
- Proven efficiency and time-management skills. It is critical to accomplish tasks quickly and efficiently.
- Reliable and punctual
- Reliable high-speed internet at home
- Reliable personal transportation appropriate for errands in the region
- Must sign a confidentiality and non-disclosure agreement
- Criminal background check and pre-employment drug screening (excludes THC) is required
REQUIRED CERTIFICATIONS/LICENSES
Certificate in Bookkeeping is advantageous, but not required
PHYSICAL REQUIREMENTS
- Ability to demonstrate proper lifting technique up to 40lbs
- Ability and willingness to wear a face mask at all times while inside the facility, or while on premises of suppliers
- Willingness to comply with a COVID vaccination mandate should law or Company Policy require it in the future, subject to medical waivers
- Ability to work in an often-noisy environment with barking dogs
- Dexterity to write and manipulate a keyboard and mouse for extended periods of time
- Ability to make and receive phone calls
- Ability to drive to carry out errands
